Challenge

Our customer is a company that uses Salesforce as its CRM platform and NetSuite as its accounting system (ERP). Earlier, they relied on manual upload or data entry to push the data from their CRM platform to NetSuite.

Challenges

01. Data Inaccuracy, Discrepancies, and Duplication
The customer faced significant challenges with manual data entry, leading to data duplication, errors, and inconsistencies between Salesforce (SFDC) and NetSuite. These inaccuracies created confusion and adversely affected decision-making processes across both systems.

02. Inefficient Processes
The SuiteBilling process was cumbersome and inefficient, requiring manual handling of billing accounts, subscriptions, and sales orders. This resulted in time-consuming tasks and heightened error risks. Additionally, manual data transfers between SFDC and NetSuite caused outdated information, leading to miscommunication and operational inefficiencies.

03. Delayed Revenue Recognition
The reliance on manual processes for data entry and transfer introduced delays in revenue recognition, negatively impacting financial reporting and forecasting accuracy.

04. Limited Visibility and Reporting
Achieving a unified view of sales data across Salesforce and NetSuite was difficult. This lack of integration hindered comprehensive reporting, reducing the effectiveness of data analysis and insights.

05. Complex Mapping and Data Transformation
Integrating complex data structures between Salesforce and NetSuite presented significant challenges without a dedicated integration tool. Manual handling of data mapping and transformation resulted in errors, delays, and inefficiencies in the integration process.

Solution

The Closeloop team thoroughly analyzed the customer's
requirements and existing systems, including Salesforce and
NetSuite. They identified the challenges of disjointed systems,
manual data entry, time-consuming processes, limited visibility,
and scalability concerns. The team also examined the data
structures, mapping requirements, and potential integration
points between the two platforms.

Closeloop proposed a comprehensive solution to address
identified challenges based on the analysis. Closeloop proposed
to use Celigo as the integration platform. The solution aimed to
achieve seamless data synchronization and automation
between Salesforce and NetSuite.

Solution Architecture

  • Based on what we learned and understood through client
    meetings and assessments, and after evaluation of different
    integration platforms and tools available, considering factors such as compatibility with Salesforce CPQ and NetSuite, ease of use, scalability, and security, the team proposed to use Celigo integrator.io, which specializes in connecting Salesforce with NetSuite. integrator.io offers pre-built connectors and templates that can be used further for customization.
  • We proposed to set up an Integration Layer to facilitate seamless data exchange between Salesforce CPQ and NetSuite. This layer will serve as the bridge connecting the two systems and handling data transformation and mapping.
  • An event trigger will be established in Salesforce and activated in real time when an Opportunity is marked as "Closed Won." This trigger will initiate the integration process promptly, facilitating immediate data transfer to NetSuite. As a result, real-time synchronization between the two systems was achieved, ensuring minimal delays in data updates.
  • We proposed automating data transfer, which will ensure that relevant data from Salesforce CPQ, such as customer, contact, billing account, subscription, and package information, was accurately and promptly transferred to the corresponding records in NetSuite.

Results

Integration Outcome

After implementing the integration between Salesforce CPQ and NetSuite using Celigo's integrator.io platform, the customer achieved transformative improvements in their sales processes and data management:

  1. Real-Time Data Synchronization: Opportunities marked as "Closed Won" in Salesforce were instantly synced to NetSuite via real-time event triggers, eliminating delays and ensuring up-to-date data.
  2. Streamlined Data Automation: The automated transfer of key records—including Customer, Contact, Billing Account, Subscription, and Package details—significantly reduced manual efforts, minimized errors, and eliminated data discrepancies.
  3. Robust Error Management: Advanced error-handling and monitoring mechanisms facilitated prompt identification and resolution of integration-related issues, ensuring consistent data integrity.
  4. Enhanced Efficiency and Accuracy: The integration optimized sales workflows and improved operational efficiency by aligning data seamlessly between Salesforce and NetSuite.
