Challenge

Outschool, a rapidly growing eLearning company, approached us with a specific need: to develop a scalable, user-friendly, and visually consistent knowledge hub for their teacher onboarding process. While their core learning platform was already in place, their internal resources were stretched thin, and the knowledge base they envisioned remained incomplete. The client had already started designing the pages using Figma and Google Sites, but the result was only partially finished and inconsistent with their brand standards.

The biggest challenge was threefold. First, we needed to convert incomplete Figma assets and poorly structured Google Sites layouts into a cohesive, interactive prototype that aligned with the Outschool brand. Second, we had to ensure that the final solution would deliver an excellent user experience across desktop and mobile devices. Lastly, the platform needed to be easily maintainable by their internal team, allowing them to update content and add new sections without relying on developers.

Since the target audience was newly onboarded teachers, many of whom are not tech-savvy, simplicity and clarity were key. The interface needed to feel familiar, with quick access to key educational resources, guidance materials, and how-to articles. Outschool also emphasized the importance of speed and performance, as slow-loading pages or unintuitive navigation could result in poor onboarding outcomes and unnecessary support tickets.

They needed a development partner that could pick up where they left off, refine their UI/UX vision, and bring it to life quickly and accurately. The client chose Idea Maker for our proven experience with website rescue projects, UI/UX refinement, and WordPress development. With an urgent timeline and a mission-critical use case, we needed to execute flawlessly.

Solution

To meet Outschool’s requirements, we began with a comprehensive design audit of the Figma files and existing Google Sites content. Our design team mapped out inconsistencies in layout, typography, responsiveness, and information architecture. We then rebuilt the knowledge hub design in Figma using Outschool’s style guides and branding elements. This allowed us to create a fully interactive prototype that could be presented to the client’s stakeholders for validation and feedback.

Once the prototype was approved, we moved into development using WordPress as the CMS. We chose WordPress for its balance of power, flexibility, and user-friendliness, ensuring Outschool’s internal team could manage the site without technical assistance. To optimize performance, we implemented lightweight theme architecture and customized blocks for easy content editing while preserving branding.

We also developed a fluid user interface that ensures seamless navigation between categories and subpages. Every section was built with accessibility in mind — adhering to WCAG standards — and responsive design principles were applied to make the hub functional across all devices.

To ensure a pain-free content management experience, we added reusable content templates and inline documentation within the admin dashboard. Each page was optimized for fast load speeds and equipped with SEO best practices, including clean URL structures, metadata fields, and schema markup to enhance visibility on search engines.

Finally, we implemented analytics tracking using Google Tag Manager, giving Outschool insights into user behavior, most-viewed content, and areas that might require improvement. We also provided a post-launch training session and documentation to ensure their team was fully prepared to take ownership of the platform.

Results

Outschool’s Knowledge Hub launched successfully and was fully operational within the targeted 3-month timeframe. The transformation from a disjointed collection of Google Sites pages to a professional, branded, and scalable platform improved both internal team efficiency and the overall teacher onboarding experience.

The new Knowledge Hub immediately reduced friction for newly onboarded instructors. Teachers could now find essential training materials, instructional videos, and FAQs within just a few clicks, improving engagement and reducing dependence on customer support. The improved navigation and design consistency also helped align the platform with Outschool’s growing brand presence in the eLearning market.

From a technical standpoint, load times were reduced by over 40% compared to their previous setup. Bounce rates dropped by 27% within the first month of launch, and page engagement times increased by an average of 18%, according to early analytics data. This confirmed that users were finding the platform easier to use and more valuable.

On the content management side, Outschool’s internal team reported a 70% time savings in updating and publishing new materials. With intuitive templates and a drag-and-drop block system, non-technical staff could now own the content lifecycle, freeing up their development team for more complex tasks.

The client has since expressed interest in expanding the platform’s functionality to include multilingual support and AI-powered search — both future roadmap items we’re excited to collaborate on.
