They provide smart corporate cards, integrated expense reporting, and powerful controls, empowering finance teams to manage company spending in real-time. Plutos core promise is to replace tedious, manual processes with automated, transparent financial management tools
Solution
While Plutos offered a powerful suite of features, the platform's user interface (UI) and user experience (UX) struggled to keep pace with the rapid addition of new functionalities. The complexity resulted in friction for the end-users (Finance Managers and Employees), leading to:
Compliance Gaps: The process for employees to submit receipts and for managers to approve transactions was fragmented, leading to a high backlog of non-compliant expenses and significant time lost at month-end closing
Administrative Overload: Finance teams faced cognitive overload due to poorly prioritised data on the dashboard, making it difficult to instantly identify out-of-policy spending or urgent tasks requiring attention
Steep Learning Curve: New users struggled to find key features like setting card limits or freezing corporate cards, delaying platform adoption and ROI for new clients
The Objective: Redesign the core platform experience to make financial compliance and expense management intuitive, fast, and scalable, minimising the administrative burden on finance teams

Results
Reimagined Information Architecture
We restructured the main navigation around core user actions (e.g., Approve, Reconcile, Budget), rather than abstract platform features.
The primary dashboard was transformed into an Action-Oriented Hub, displaying large, clear cards that show immediate priorities (e.g., “5 Pending Approvals," “15 Missing Receipts”), allowing finance managers to initiate tasks instantly
Data Visualisation for Control
Introduced clear, consistent colour-coding and modern data visualisation techniques to highlight anomalies instantly. For example, spending that exceeds policy limits is immediately flagged in red, while spending that tracks within budget is green
This allowed finance professionals to scan for exceptions rather than manually auditing every transaction, turning data from overwhelming statistics into actionable insights
Intuitive Receipt & Expense Flow
Implemented a seamless multi-channel receipt upload (via mobile app, email, and instant messaging) and integrated the matching status directly into the transaction log
Designed a visual compliance meter on every expense report screen, providing instant feedback to both employees and approvers on the completeness and policy adherence of the submission
