Challenge

A U.S.-based logistics company struggled with manual order workflows, siloed systems, and delayed shipment visibility.

The company’s operations were constrained by:

Manual order entry across three systems (22 minutes per order)
No real-time synchronization between ERP, CRM, and warehouse platforms
High support load due to delayed shipment updates
4-day month-end reconciliation due to inconsistent data
Manual inefficiencies were increasing operational costs and limiting scalability.

Solution

We designed and deployed four interconnected n8n workflows:

  •  Automated Order Intake

Orders from email, EDI, and web forms are automatically parsed, validated, and pushed directly into ERP systems (including SAP, Oracle, and NetSuite).

  • Real-Time Inventory Synchronization

Continuous sync between ERP and WMS. Automated Slack/email alerts trigger when stock thresholds are reached.

  • Shipment Tracking & Notifications

Carrier updates initiate automated SMS/email notifications, significantly reducing inbound support requests.

  • Cross-System Data Reconciliation

Nightly automated reconciliation reduced month-end close from 4 days to 4 hours.

Deployment was completed within the client’s AWS infrastructure, ensuring SOC 2 and GDPR compliance.

Results

Order processing time decreased by 70%, manual data-entry errors were eliminated, and month-end close was reduced from four days to four hours. The company now saves approximately $340,000 annually and has freed 12 employee hours per day for higher-value operations.
