Challenge
Automating documents created in Microsoft Word presents significant technical challenges due to the complexities of the XML structure, which can cause the document layout to shift with changes. Maintaining the perfect layout and design was highly crucial to our client, as the final document is their main product. Additionally, the ability to make manual edits post-automation was necessary.
To tackle this, we needed to catalog and structure data from over 10,000 existing contracts, identifying all key components to enable the system to map fields accurately. Manually handling this task would have required thousands of hours, so automation was essential.
We trained a Large Language Model (LLM) specifically for this company's contracts to enhance efficiency and accuracy, eliminate AI hallucinations, and ensure the integrity of contract data.

Solution
We began with an R&D phase, during which we collected, structured, and cataloged all the client's documents. We then trained a Large Language Model (LLM) based on existing solutions, enabling the AI to analyze text and identify key aspects of the documents.
The next chapter was developing a web and mobile interface for the system, accessible only via the company's intranet. This interface allows lawyers to generate ready-made contracts in the corporate design and MS Word format by interacting with an AI chatbot.
We implemented advanced security measures to protect the data. Not even attorneys have immediate access to the entire contract database, mitigating the risk of data leakage and allowing paralegals and assistants to create documents safely.

Results
In just 4.5 months, we transformed our client's document workflow, saving them 28,800 hours and €3.5 million per year.
We began by creating a comprehensive document database, methodically populating all key fields. This foundation enabled us to accelerate the contract creation process tenfold, drastically reducing manual errors.
Our document workflow automation also empowered even non-lawyers to finalize agreements, significantly saving costs.
The client successfully implemented this solution across multiple practices, including M&A, corporate and commercial law, intellectual property, and tax and customs, reaping substantial efficiency gains and cost reductions.
"The document automation system developed by Erbis has exceeded our expectations. It integrates seamlessly with our operations, maintains high standards, and provides robust security.
