Challenge

Hercules Capital faced operational inefficiencies due to its legacy, on-premise, local file system for document management. The Venture Capital firm wanted to transition to a cloud-based, global document management system with 24/7 availability, high security and mobile accessibility.

Solution

Opentrends used design thinking and fast prototyping to develop a valid prototype and a backlog of all user stories in 10 days. The team then moved to agile development and completed four software development iterations before rolling out the first usable version of the DMS. Partnered with Box to design the architecture and developed a custom and highly differentiated document management system that integrated with the existing .Net software using the Box Java SDK.

Results

The Hercules Capital team highly appreciated the DMS, who found their work much easier with the new tool. The new system reduced document turnaround time, harmonized the document repository and provided a cloud-based repository that allowed the team to work seamlessly from and away from the office. With its broad scalability capabilities, the new system materialized Hercules Capital’s roadmap toward workflow automation and brought them much closer to meeting their digital transformation goals.
