Challenge

Race directors using Run The Day were spending significant time handling repetitive administrative work, searching documentation, resolving registration issues, and waiting for support.

Common problems included missing pricing tiers, discount errors, participant updates, event setup, volunteer coordination, fundraising workflows, email communication, and last-minute race-day check-ins.

Because many of these workflows involved several steps, static FAQs and traditional rule-based chatbots were not sufficient. Race directors needed immediate, context-aware guidance that could understand natural-language questions and provide accurate instructions based on Run The Day's actual workflows.

The challenge was to reduce support dependency, simplify complex race-management tasks, minimize setup and registration errors, and help race directors complete their work faster without leaving the platform.

Solution

Quokka Labs developed an AI-powered assistant directly integrated into the Run The Day dashboard.

The solution uses natural language processing to understand conversational questions from race directors and provide step-by-step, context-aware answers. It connects with Run The Day's existing FAQs, documentation, and workflows so responses remain specific to the platform.

Contextual memory allows the assistant to handle connected, multi-step conversations rather than treating every question separately. It can also troubleshoot common problems such as blocked registrations, pricing errors, participant updates, volunteer setup, fundraising workflows, and race-day check-ins.

The AI solution was built using OpenAI GPT for conversational intelligence, Python and AWS Lambda for the backend, and Next.js for the user interface.

Quokka Labs also supported AI assessment, use-case prioritization, system integration, performance monitoring, training, and adoption planning.

Results

The AI assistant significantly improved how race directors interact with the Run The Day platform.

According to the project results, task completion became 70% faster, while 95% of signups were completed without errors. Setup errors were reduced by 50%, and user satisfaction increased by 40%.

Race directors can now receive immediate guidance for registrations, pricing, participant communication, volunteer coordination, fundraising, event setup, and race-day operations without repeatedly searching documentation or waiting for manual support.

The AI-enabled development approach also reduced implementation time. The complete AI workflow was delivered in approximately 5–8 weeks compared with an estimated 12–15 weeks using a traditional chatbot development approach.

The result is a faster and more intuitive support experience that allows race directors to spend less time troubleshooting platform workflows and more time managing successful race events.
