Challenge

Many small and mid-sized businesses receive operational requests through several channels, such as email, forms, spreadsheets, and internal tools. These requests often need to be reviewed manually, categorized, checked for missing information, and routed to the right person or next step.

This creates repetitive administrative work and slows down response times. Important details can be missed, similar requests may be handled inconsistently, and teams often spend time copying information between systems instead of acting on the request itself.

The challenge was to design an automation workflow that could turn unstructured incoming requests into structured, reviewable information without forcing the business to replace its existing tools or fully remove human control.

Solution

Selenicore designed a workflow intake automation pattern that collects incoming request data, classifies the request type, extracts key details, flags missing information, and prepares the next action for review.

The workflow is built around practical automation rather than full replacement of existing systems. Inputs can come from email, forms, spreadsheets, or internal tools. The system then structures the information, applies classification logic, and prepares a clear handoff for the relevant team or process step.

Human review remains part of the flow where needed, especially before sending responses, updating business records, or triggering follow-up actions. This keeps the process reliable while still reducing manual sorting, copying, and coordination work.

Results

The result is a reusable intake automation workflow that helps businesses handle repetitive requests more consistently and with less manual effort.

The workflow improves visibility into incoming requests, reduces the need for manual categorization, highlights missing information earlier, and creates a clearer handoff between intake, review, and follow-up. It also provides a practical foundation for future integrations with CRM, ERP, ticketing, or internal business systems.
